Phase 1: Analysis & planning

Goal: We create a common understanding of your sources and goals in order to create a customized plan.

  • Needs analysis: What do you want to achieve with the metadata?

  • Source check: We analyze your digitized or physical holdings (e.g. index cards, documents, finding aids).

  • Digitization check: If not yet digital, we clarify the best way to digitize - internally or with our partners.

  • Quality definition: Together we determine the required quality of the metadata and clarify whether manual corrections should be planned.

  • Feasibility test: If necessary, we carry out initial experiments to validate the feasibility.

Phase 2: Pilot project & validation

Objective: We process a partial dataset so that you can check the quality of the results and gain initial experience with the data.

  • Processing the partial collection: We apply the defined AI process:

    • Preparation: preparation of the scan data for the AI.

    • AI extraction: The metadata is extracted using Large Language Models (LLM).

    • Post-processing: Automatic corrections and formatting.

  • Quality check: You check the results in a convenient interface and can make corrections or additions.

  • Joint evaluation: We analyze the quality of the results and create a concrete plan for the next steps

Phase 3: Scaling & integration

Goal: We apply the process to the entire selected collection and integrate the results seamlessly into your day-to-day work.

  • Obtaining all metadata: The validated process is applied to the entire selected collection.

  • Final quality assurance: final corrections are made in accordance with the defined criteria.

  • Data export: You receive all the metadata obtained in the desired format (e.g. Excel, CSV, XML).

  • Integration: We support you in integrating the new data and tools into your existing systems (e.g. archive information system) and workflows.

  • Future plan: We define how the process can be used for future or continuous indexing.
